Sofia Melius B.V. (henceforth Sofia) takes the privacy of her users very seriously, therefore Sofia aims to be as clear as possible about what happens with personal data.
Sofia stores the following personal data:
- First and last name;
- Given answers of questions Sofia asks;
- Registered hours (optional);
- Associated company;
All stored personal data is located in The Netherlands. Sofia purchases a service from Digital Ocean and chose to use a Dutch datacenter from Digital Service.
Sofia stores all its personal data for a period of three years. After three years, the data is anonymized such that statistics are preserved. When the personal data is anonymized, it can no longer be traced back to a person and is therefore no longer considered personal data.
Sharing with third parties
Sofia is a tool that asks questions and stores its answers. The customers are employers and the users are employees. The answers to questions will be shared with employers. All of this is anonymous unless explicit permission is asked or it is made clear when the question is asked.
The given answers could be shared with third parties such as Motivation International BV. In the case where answers are shared with third parties, it is anonymized and can no longer be traced back to individuals.
See, change or remove personal data
All personal data stored by Sofia can be seen, changed and removed. This can be done by sending an email to firstname.lastname@example.org after which Sofia will verify the identity of the sender. In this process, Sofia might ask the sender for a copy of its identity card. This copy will be deleted by Sofia directly after the process. Sofia has created a procedure that ensures all personal data that is requested to be removed, will be deleted.
Sofia tries to the best of her ability to prevent a data breach. For example, all data is transmitted using a secure connection (SSL) and is protected using a username and password when stored.

Sofia takes the protection of personal data extremely serious. We apply the ‘Security by Design’ principle which means that while developing our services, we actively involve the security measures in our design. Besides this, we regularly review our security measures to see where we can improve. Despite all of this, we realize that 100% security cannot be guaranteed.
